I have posted some of the replies I have received from colleges below for your reference.
Please to not go about replying to them since they have been addressed to me (and largely have been sent to my personal email address).
We will discuss our college preferences at our first meeting of the semester.

Dear Kathryn,
I am writing on behalf of Associate Professor Rufus Black regarding your letter dated 18th July 2011.
Your letter has been passed onto me as I am the Events Manager here at Ormond College. We would gladly be able to accommodate your group at Ormond College at a reduced rate of $68.00 per night including linen and breakfast daily.
We are heavily booked during December 2011 and I would love to know the dates you require and hopefully we can accommodate your request.
I look forward to hearing from you soon to discuss this further.
Kindest regards,

Dear Kathryn,
Thanks for your letter and for the information about your very worthwhile Loddon Shire Project. As you may be aware, Medley has just this week opened again to students, after 2 years of renovation. We have always supported social access initiatives and will continue to do so in our shiny new building.
I would be happy to meet with you to discuss accommodating your group here. The kitchen will be closed in December unless we have a very large conference group, which seems unlikely at that point in the year but we do have a well-equipped kitchen available to students and casual guests, so you might be able to do a combination of self-cater and Lygon St. Our rates are very reasonable.
Perhaps you and members of your SALP group would like to make a time to visit and to discuss the options further.
Many thanks for your email enquiry regarding accommodation at Queen’s College for the participants of the Student Ambassador Leadership Program (SALP) at the University of Melbourne.
We would be delighted to have accommodated you, but unfortunately we are fully booked during the requested dates.
Should any space become available – I will be sure to contact you immediately.
Good luck with the program this coming December.
Warm regards,
Frank

Dear Kathryn,
Sorry to be so slow in responding to your letter. 'Death by email' seems to be the reality for me nowadays, as it probably is for most people.
Before we meet, can I give you financial parameters for JCH, in case you can get a better deal elsewhere (and I hope you might be able to). Being small, we close our kitchen once exams end (we don't have inhouse catering), and we don't have a conference manager etc., so we would need to outsource cleaning etc to set up for any conference guests. At cost (that is to cover the costs of contractors), you would need to pay $95 per person per day for us to host your group.
I suspect that bigger colleges which have conference staff in hand might be able to do a better deal, but you can look into this and see what you think.
Good luck with it, and if you do want to talk further on this basis, you have my email.
with best wishes,
Damian Powell.
